Start with what the room earns on a normal night

A buyout quote should never be a round number pulled from the air. Start with the revenue that room produces on the same day and daypart, add the margin premium a guaranteed headcount deserves, and subtract the costs you avoid — no-shows, comps, and slow-table turnover disappear when the whole room is one check.

Anchor high, justify clearly

Planners don’t flinch at a confident number with a clear breakdown — food minimum, room fee, service. They flinch at vagueness. A one-page quote with three tiers books faster than a phone call that ends in “let me get back to you.”
